* The acceptance of applications will end if the number of applicants reaches the enrollment limit.

Qualifications for admission

All of below must be met when sending the application.

  1. Those who have completed at least twelve years of school education or those who have completed a course of study equivalent to twelve years of school education.
  2. Those who are 18 or older at the time of entering the school. In general, people who are 30 or younger and graduated from their last school no more than 5 years earlier.
  3. Those who have learned Japanese for at least 150 hours at a university, college, professional school, high school, junior high school or language school and have passed the Japanese Language Aptitude Test N5 or Grade-4, Grade-F of the J-TEST or will soon pass the test. Or, those who have abilities in Japanese language equivalent to or better than the requirements of Tokyo International Language Academy (TILA) as the result of a test for Japanese ability implemented at TILA.
    (*1: To be able to certify you Japanese language ability at the time of application, please take the test in advance.)

  4. The purpose of becoming a TILA student and the plan and course after graduation are clear.
  5. Those who can provide payment guarantees for the expenses of staying in Japan including the academic fees and living expenses while being a student of TILA.
  6. Those who have not been granted a certificate of residence eligibility by any institute of Japanese language education other than TILA.
  7. Those who have not repeatedly left and have not re-entered Japan within a year under a short-term visa.
  8. Those who have previously been in Japan as an on-the-job trainee must have subsequently remained outside of Japan for more than one year and have utilized the techniques they mastered during the training in their home country.
  9. Those who have applied for entry into Japan through due formalities and thus permitted or will be permitted to enter into Japan.

  2. Academic fees (tuition): Pay the total amount required for the first year in one lump sum payment by the date designated by TILA.
    * Payment in installments is available from the second year.

Note: Be sure to pay the designated amount before due date. If any applicant/student is unable to pay the amount by the due date, admission, promotion to higher grade or graduation may be suspended upon consultation with the school or the individuals who recommended the applicant. If any student is unable to pay the amount after admission to TILA, the student may be dismissed from TILA.

《Reimbursement of the amount paid》
The amount paid will not be reimbursed unless following cases apply.

  1. Visa was not granted by Japanese diplomatic establishments abroad (rejection of visa application).
    If the “letter of acceptance” is returned and the document proving that the entry visa has not been granted is submitted to TILA, the amount paid will be reimbursed, except the application fee (21,600 JPY) and the admission fee (50,000 JPY).
  2. Entrance declined due to unavoidable reasons
    If the “certificate of residence eligibility” and the “letter of acceptance” are returned, the amount paid will be reimbursed, except the application fee (21,600 JPY) and the admission fee (50,000 JPY).

《JLPT N1/N2 holders》
A special scholarship may be awarded to those who passed the N1-grade test or N2-grade test of
Japanese Language Aptitude Test (sponsored by Japan Educational Exchange and Service (JEES) and the Japan Foundation before submitting the application form (except for those who will take the National Nursing Examination).

Send the original copies of the application documents to TILA. The application will not be accepted if the application documents are not complete.
5 Pass/fail notice of the secondary screening A: Mid November
B: Mid May
The pass/fail notice will be sent to the school or individuals who recommended the applicant in his/her country.
For applicants who have successfully passed the secondary screening, TILA will prepare application forms to be submitted to the Immigration Bureau of Japan, Hiroshima Office.
For applicants who did not pass the secondary screening, the original documents including the diploma will be returned.
6 “Certificate of Residence Eligibility” Application of granting A: Early to mid December
B: Early to mid June
TILA will apply for the granting of the “Certificate of Residence Eligibility” for those who passed the secondary screening to the Tokyo Regional Immigration Bureau.
7 “Certificate of Residence Eligibility” Certification A: Expected to be in the late February
B: Expected to be in the late August
(For your reference, this timing of certification may be postponed sometimes)
The Tokyo Regional Immigration Bureau will send the applicant’s “Certificate of Residence Eligibility” to TILA.
After the applicant is certified for the residence eligibility, TILA will send scanned data of the “Certificate of Residence Eligibility” to the school or individuals who recommended the applicant in his/her country by e-mail or fax.
If the applicant is not certified for the residence eligibility, TILA will also inform the result of this to the school or individuals who recommended the applicant in his/her country by e-mail or fax.
At that time, TILA will only send the statement of reasons together with original documents, including the diploma.
8 Payment of academic fees and boarding fees A:Late February to early March

TILA will send an invoice to the school or individuals who recommended the applicant in his/her country immediately after sending the result of the certification of “Certificate of Residence Eligibility.” According to the invoice, remit the academic fee and boarding fees for the first year to the bank account designated by TILA.
9 Delivery of the “Certificate of Residence Eligibility” (original copy) and the “Letter of Acceptance” After confirmation of receipt of payment After confirming the receipt of payment of the academic fees and boarding fees, TILA will send the “Certificate of Residence Eligibility” (original copy) and the “Letter of Acceptance” to the school or individuals who recommended the applicant in his/her country.
10 Visa application After receiving the “Certificate of Residence Eligibility” Applicants need to apply for a visa by submitting the required documents
(passport, certificate of residence eligibility, letter of acceptance) to the consular department of the Embassy of Japan (Consulate General of Japan).
* If a visa has not been granted, contact TILA immediately.
11 Entry into Japan and admission A:Middle March to late March
B: Middle September to late September
Be sure to enter Japan so as to be ready for the admission schedule of TILA.
* Please inform TILA of the itinerary of entry into Japan.

【Precautions】
●When declining entrance
If there are any unavoidable reasons for declining entrance,
contact TILA immediately and follow the consequent designated procedures.

●Observe the following matters before and after entering into Japan

  1. Respond quickly to the TILA contact during the time from application to admission.
  2. After a visa has been granted, inform TILA of the date of departure from your country, the name of the airline company and the flight # at least 10 days before entering Japan.
    TILA will inform you about the transportation from the airport and method of pick up if it is necessary.
    If the airport at which the student will arrive is neither Okayama Airport nor Hiroshima Airport, the student shall pay the expenses incurred for the pickup (including expenses incurred for the person in charge of picking up the student)..
    Please arrange your schedule so that your arrival date will be on a weekday (Monday through Friday (except for Japanese national holidays)) as much as possible.
  3. In general, be sure to enter into Japan so as to be ready for the entrance ceremony.
    When the time of entry is postponed, contact TILA promptly for our permission.

Procedure for Preparation of Application Forms

Application documents
Choose one from among the following depending on the category of guardian who will be paying for the fees and prepare the required documents in accordance with the procedures described.
●Applicant is responsible for the payment of fees and expenses

◆Precautions
* Be sure not to have any missing descriptions in the documents to be submitted. The application will not be accepted if the application documents are not complete. Be sure to refer to the application document check list before submitting the documents. (We will check upon receipt)
* Do not write school names or addresses in an abbreviated form and write them in details including the house/building/room number. All information needs to be correct and precise.
* All certificates issued by a school or a company must have the name, address, phone number, fax number, the name and the title of the issuer of the certifying institute, in addition to his/her signature.
* All documents written in a language other than Japanese must have a Japanese translation attached to them. All translated documents must have the name and contact address/phone number/e-mail of the translator on it.
If dates included in the certificate are not based on the western calendar, change them so that they indicate the western calendar.
* If several individuals or guardians pay for the fees and expenses cooperatively, each individual or guardian must sign the document certifying the ability to pay all fees and expenses. If a spouse living together is an individual responsible for payment, both husband and wife must sign a single document certifying the ability to pay all fees and expenses.
* All certification documents must have been issued within three months before the date of acceptance of application by the immigration bureau. If these documents are issued beyond the three-month period, the certification documents will not deemed valid.
* If an applicant wishes to ask us for translation of application documents, please pay 5,000 JPY for translation service together with the enrollment fees.
* According to the admission acceptance examination, the applicant may be requested to submit additional documents either by the immigration bureau or KLA. In such case, submit the documents promptly.

If any falsified or false documents are discovered. the qualification of admission will be canceled immediately.

・Do not abbreviate current address (including school and company names). Include the house number for an individual house and the room number for an apartment house.
・Write academic and occupational history in detail including the period in which the applicant belonged to no schools nor companies and the period of military service so that there are no blank periods. The dates of entrance into and graduation from schools, as well as the dates of entrance into and departure from companies, must be correct. Check all certificates to be sure that all of the dates are correct. If there are any differences between dates on certificates and actual dates or the age of school enrollment or term differ from the certificates, it is necessary to attach a statement and certificates supporting the reasons.
・The records of embarkation to/disembarkation from Japan must be entered correctly so that there will be no differences from the records on the designated page of the passport.
The use of correction liquids is not allowed for the correction of written mistakes. Be sure to prepare drafts by pencil and then write out with a black ball-point pen if there are no mistakes.

A certificate with descriptions of the starting date of employment, the term worked for the company, content of work and the amount of salary when applying for admission.

Family register or equivalent ・Original copy of the family register or an equivalent certificate showing the academic record of the applicant and the occupation of an individual or guardians paying for the fees and expenses.
(In the case applicants from China, copies of all pages of residence booklet issued by the Ministry of Public Security.)
・The applicant’s record of last school must be identical with the description on the diploma. And the individual or guardians who pay for the fees and expenses must have the company name and title written on the certificate of employment.
“Reason for studying in Japan” statement [designated format]. A form designated by TILA (must be written by the applicant)
・Write these documents in your native language.
・The reason for studying abroad and your plan after completing the study shall be written in details including the desire for studying in Japan and true reasons.
・If the applicant has spent more than 5 years after graduating from the last school, write the purposes of studying and background in details (If the applicant goes to college or university in Japan, write more in detail about the fields of expected study and inevitabilities to studying in Japan)
・Japanese translation must be attached.
Picture 8 Pictures sized 4cm x 3cm. Taken within 3 months by facing front, without a hat or a cap with no background. The picture must be clear.

After cutting the picture to the above size, write the applicant’s name and the date of birth on the back side of the picture.
– Attach one picture on the admission application form.

Certificate of health [designated form] Undergo a physical examination at an official hospital and submit the certificate.
Written oath [designated form] Both the applicant and the guarantor(s) or guardian who is (are) responsible for payment of fees and expenses shall sign.
Oath for entering the dormitory [designated form] Both the applicant and the guarantor(s) or guardian who is (are) responsible for payment of fees and expenses shall sign.It is not necessary for those who will not stay in the dormitory to submit the oath.

In the case of cash payment at the time of entrance or the temporary return, a record showing the fact of record of fees and expensive payment, including a foreign currency being taken out. (For changing the visa status and at the time of renewal of the visa, payment of fees and expenses must be checked carefully)
– Japanese translation must be attached.

Certificate of bank balance Certificate of bank balance of the bank account under the name of the individual or guardian who is responsible for the payment of fees and expenses.
– Certification using official paper designated by the bank, showing the address, phone number and fax number of the bank.
– For the amount of balance, at least 1.5 million JPY/person is required for the 18-month course and 2 million JPY/person is required for the 24-month course.
– When the certificate is issued in the applicant’s home country,attach a color copy of the certificate of bank balance (in case of China, term deposit account).
– The certificate of bank balance can be accepted even if the balance is shown in local currency (Chinese yuan, Vietnamese dong), however, if the bank which certified the balance is not a bank with a function of foreign remittance, the certification may be rejected. The certificates must always be official.
– Documents which show the course of the formation of the said bank balance (copies of each page of bank passbook for past 3 years, evidence of any sale of assets, etc.)
– Must be issued no later than 3 months earlier.
Income certificate If the guardian who will be paying for the fees is employed by a company
– Certification of annual income for the past three years so that any changes in income can be confirmed.(The certificate must be printed on a sheet of paper with the company letterhead with the company name, address, telephone number and fax number. A hand-written certificate is not accepted)
– Japanese translation must be attached.If the guardian who will be paying for the fees is the owner of a company or self-employed
– Tax certificate with a total amount of personal income issued by the government authority and certificate of company register)
– Japanese translation must be attached.
Occupation certificate If the guardian who will be paying for the fees is employed by a company
– Certificate of employment which proves the occupational history for past three years.

Method of grading (test)

The promotion to a higher grade will be determined by the result of periodic test (pass/fail). Depending on the result of student, he/she can skip grade or may need to repeat the same grade over. This is to establish a class formation based on the abilities of each student for each year.

Part-time job and activities outside the scope of permission

The purpose of entry of students into Japan is study, therefore it is not allowed for the students to work in Japan. Hence, if a student wishes to have a part-time job, which is not an activity within the scope of permission, it is necessary to apply for permission to the Immigration Bureau in advance after getting a permission of TILA. If a student engages in such activities without a permission or he/she works for more than 28 hours/week, the student will be punished as it is an illegal conduct. TILA prohibits the students to engage in such activities outside the scope of permission for a certain period of time until the students become used to school life and the life in Japan.
* Students have an unsatisfactory attitude for study or those who have poor grade will not have permissions for a part-time job.

Dormitory

There are dormitories for male and female students within a 10 minute walk to the nearest station. All students live there and enjoy life in community. The dormitories are located in a nice, clean and quiet environment.
In general, the room is for two students.
《Boarding fees and the method of payment》
The boarding fees must be paid in advance. Pay the first time payment for the half-year boarding fees together with the deposit and the fee for furniture and equipment.

Rules about tuitions for withdrawing students

Term of enrollment is less than six months * Withdrawal from the school for higher education 50% of the tuition for the period in which the student will not attend will be reimbursed.
* Withdrawal due to any reason other than for higher education 30% of the tuition for the period in which the student will not attend will be reimbursed.

Code of Tokyo International Language Academy

Awarding

The principal of the school will award students of high scholastic standing and who serve as role models.

Disciplinary disposition

1.If a student does not act according to the code of the school, corrupts public morals and/or commits inappropriate acts, the principal of the school may punish the student.
2. The disciplinary disposition consists of advice, a warning and expulsion from school.
3. A student will be expelled from school if he/she applies to any one of the following matters.
(1) Bad conduct and no hope for improvement
(2) Poor performance and no hope for an improvement in performance
(3) Absence without appropriate reason and no hope for improvement
(4) Disturbance of school order and failure to perform the duties of a student
(5) Acquisition of a residence certificate using false information, applying to changing visa status /renewal of visa using false information and statement
(6) Violation of the laws of Japan
(7) Failure to pay tuition for more than one month without an appropriate reason and no hope of making payments in the future

Engaging in activities outside the scope permission (part-time job)

1. If a student wishes to have a part-time job, which is an activity outside the scope of permission, it is necessary to apply for permission to engage in activities outside the scope of permission to the Immigration Bureau in advance.
2. The hours for the activities outside the scope of permission cannot be greater than 28 hours/week.
3. All students must submit a part-time work notification to TILA.
4. It is strictly prohibited for students to engage in any services banned by the Immigration Control Law (i.e. bars, gambling parlors, entertainment and amusement businesses).

Permission

Applying for a driver’s license for motor cycles and automobiles, temporary return to home country and staying out all requires permissions in advance. Please obey the orders of TILA.
